Membership rules

Relevant information
The Organizer pays a fee of 12 $/month to Meetup.com to maintain the group page. To cover this costs all members can:

  • make donations to the Event Organizer when they take part in any event
  • and buy T-Shirts and other products with the logo of the group at the on-line group Store: 1 EUR of each product goes to cover the group costs (the rest to cafepress.com). Number of orders received until now: 1.

1. General Membership Rules
  • 1.1. You have to be at least 18 years old to join this group.
  • 1.2. In the past, some people have joined the group to send spam to its members or create inappropriate messages on the Message Board. Because of this, in order to become a member, everybody has to:
    • a) publish a photograph where we can clearly see your face,
    • b) or one member assures to the Organizer (Ánchel) that he/she knows you via e-mail
    • c) or you include your Facebook profile and some activity can be seen on your wall.
  • 1.3. This is a non-profit group and membership can be denied and cancelled at any time with the Organizer’s discretion, usually, for the reasons that he thinks are harmful/problematic to the group (such as negative attitude/behavior towards other group members, disturbing the harmony of the group, etc.). These members will be banned to rejoin the group.
  • 1.4. If you have suggestions about events that you would like to attend, use the Message Board. We will be thankful for them and we will take into account your suggestions, but it cannot be assured that any Organizer will be interested in publishing it. You can also organize it yourself. In order to do so, you have to become Event Organizer: follow this link to know how.
  • 1.5. Members who use the group to send advertising or spam to its members will lose his/her membership and will be banned. Therefore usernames with a commercial meaning are not allowed.


2. Rules for Events
  • 2.1. The Event Organizer can reserve the right to publish an event with the maximum number of members that he/she decides. Usually events are limited to 12-20 people, depending on:
    • the difficulty of the event,
    • the need of going all together to avoid getting lost
    • or other reasons that the Event Organizer may consider.
  • 2.2. The Event Organizer can refuse a member’s participation for the reasons that he/she thinks are harmful/problematic to the event (such as physical condition, insufficient hiking gear/equipment, negative attitude/behavior towards other group members, disturbing the harmony of the group, etc.). This decision has to be justified by the Event Organizer in person (if this happens at the meeting point) or writing an e-mail to the person (if the decision was made before the event happens).
  • 2.3. Before you were allowed to join Meetup, you had to check a box saying you read and agreed to Meetup's Terms of Service. One of the most important sections in these terms as an Organizer, is Section 6.2 which refers to liability. Here is a link for your review. In simple language, YOU and only you, are responsible for your safety at all times if you participate in a Meetup event. By joining an event you are accepting the Liability Terms of this group . This second check have to be done, because of Catalan legislation (Decret 333/2002 Art. 7), just to make clear that you accept to be a co-organizer of the event.
    • NOTE: Do not trust people or "improvised" organizers who pretend to be an expert or professional just because they have a FEEC license or because they are in a hiking association. This only proves that he/she has the money for paying a FEEC licence. FEEC/FEDME members are not mountain sports professionals unless they have additional legal qualifications that you can check at FEEC.
  • 2.4. Car trip costs:
    • a) The driver of the vehicle will tell the costs to be split before leaving the meeting point. These costs cannot exceed the following:
      Price of all event trips (to be split between all people travelling in the car) = P + (KM * CO * CC) + DE, where:
      • P = costs of all tolls on the way
      • KM = Kilometers of all trips to be done
      • CO = Fuel consumption of the vehicle (the maximum fuel consumption that can be used is 10 liters/100 Km)
      • CC = Fuel price (the current fuel price)
      • DE (vehicle wear and tear) = KM * 0,15 €
      The Event Organizer has to publish in the description the estimated total amount of Kilometers of all trips and tolls (at viamichelin.com you can obtain this information). He/she can also publish the maximum estimated total trip cost.
    • b) In case of a fine or car accident, the law and traffic regulations of the country will count.
      • For instance, a speeding fine will be paid by the driver.
      • In case of car failure, the cost of repairing the car will be paid by the owner (it will not be split between all people in the car. This is the reason why the Vehicle Wear and Tear can be applied to the trip costs).
      • In the case that a car cannot be used anymore, every person has to pay his/her return trip. There is no liability for the driver.
    • c) A participant who does not pay the cost of the trip to the driver cannot participate in any event until he pays the appropriate amount to the driver. The driver should report this incident to the Organizer.
    • d) In the case that a member does not travel all the way in the assigned car (e.g. only one-way), if the driver or any person in the same car decides it, that member has to pay the full trip (in order to avoid more costs than expected to the driver and the rest of the people in the car). This rule will be ignored if the event costs are being split between all people attending the event.
  • 2.5. In some events guests are allowed.
    • a) These guests cannot be former members that have been banned. Contact the Organizer, if you want detailed information about this topic.
    • b) The Event Organizer can decide not to allow guests of members that are attending for the first time an event.
  • 2.6. For events (especially for those lasting more than one day), the Organizer can require an inscription fee. This fee will be used to cover part of the costs of the event if the member shows up.
    • a) If the member cancels his/her participation without giving a convincing explanation, he/she will lose this fee (it will be used to cover additional costs or Meetup.com costs). This way it will be avoid that people join an event without knowing if they are going to attend the event or not.
    • b) The Event Organizer decides which payment method will be used. A money transfer to an account of the Event Organizer has been the usual method
  • 2.7. Help the organizer as much as you can. Try to adapt yourself to the event, and not the event to you. This is not a travel agency and to organize an event takes a lot of time. The organizer is not earning any money. Keep his/her work as low as possible. The organizer can refuse to change anything you ask for. Right behavior examples:
    • Do you want to come with a dog?
      • If you do not have a car, publish a comment in the event asking the drivers if they would accept a dog in their cars. If somebody accepts, he/she should tell the organizer or publish a comment at the event page.
      • Are we going to sleep somewhere? Call yourself the hotel or refugee, if you want to know if they accept dogs. If the accomodation venue has not been published yet, ask the organizer for it.
    • Do you want to sleep in another place?
      • Organize it yourself and tell the organizer. If the event location is known, you should look for other accommodation options and call them. Do not ask the organizer for alternatives, if you have enough information.
    • Car assignments:
      • In some events to change the car assignments is not that easy. Specially this is the case by skiing/snowboarding events or events with a lot of people and different options. If everybody wishes to go with somebody else, to manage the car assignment would be a lot of work.
      • If you want to go in somebody's car, you should write it in the comment of your RSVP. Even if you do it, it is not possible sometimes (usually because of required space for gear).
  • 2.8. Any member of the group suggesting or organizing an event is not allowed to earn any money with the event. All the charged money has to be used to cover the costs of the event. Doing business is not allowed in this group and all people that try it will be banned.
  • 2.9. An Event Organizer can add as many car drivers to the event (ignoring the Waiting List order) in case that cars are required to open new spots or to have some replacement cars.
  • 2.10. When a driver (without a guest) joins an event, he/she can request that somebody jumps to the first position of the Waiting List. This has to be informed in the text of the RSVP.
  • 2.11. All people have to join the events using the Meetup functionalities (even guests). You must avoid comments or emails like “I’m interested in this event, please let me in”. The Event Organizer can ignore or delete all similar emails and comments of the event.
  • 2.12. You can join as many Waiting Lists as you want, but once you could join an event, take care of change your RSVP to No in the rest of Waiting Lists of events taking place at the same time . Because you cannot be at two (or more) different places at the same time you would get a No-Show (see next chapter).


3. Attendance rules
  • 3.1. If a member who has RSVP'd Yes and does not attend an event, without changing his/her RSVP to No, will get a No-Show:
    • a) After the first time, nothing happens.
    • b) After the second time, you will not be allowed to join event taking place during the next month (excepting those that are already paid). If you RSVP Yes in some of these events, I will be changed to No.
    • c) After the third time, your membership will be canceled and you will not be able to join this group again.
  • 3.2. If the member that got a No-Show, sends proactively reasonable explanations (sickness, accident, work, etc.) about the reason why he/she did not show up, the Event Organizer can decide not to assign the No-Show. This must happen always before the e-mail informing about the No-Show is sent.
  • 3.3. If a driver of a vehicle does not show up to an event or cancels without a reasonable explanation during the 48 hours before the event, his/her membership will be cancelled permanently.
  • 3.4. Event Payments:
    • a) Not paying on time (the time that the Event Organizer told you) a reservation fee will count as a "No show" and the Event Organizer can set your RSVP to No.
    • b) Changing your RSVP from Yes to No during the payment period (this means: after you receive the e-mail with the payment information until the payment day limit), counts as a "No show". This rule does not apply if you were in the Waiting List and your RSVP was changed because a free spot opened.
  • 3.5. Changing your RSVP from Yes to No during the 48 hours just before the event starts, counts as a No-Show unless a reasonable explanation is sent to the Event Organizer
    • a) Even when the member sends a reasonable explanation, if the member does it frequently, the Event Organizer can decide to assign the No-Show anyway.
  • 3.6. In the case that a member and his/her guest do not show up, the member will get 2 No-Shows. If it is just the guest who does not show up, the member will get a No-Show.
  • 3.7. Joining to events taking place at the same time is also a No-Show, even if you take part in one of them. If an Event Organizer realizes it previously, he/she can change the RSVP of that member to No in his/her event without an explanation.
    • a) It is not forbidden to be in several Waiting Lists of events taking place at the same time. But you should change your RSVP to No of these Waiting Lists, once you get in one of these events.
  • 3.8. A No-Show cannot be removed because of explanations received after you received the e-mail communicating the No-Show. All explanations have to be sent before this e-mail has been sent. If you can prove that an Event Organizer made a mistake assigning you a No-Show, it can be deleted.
  • 3.9. Every No-Show will be deleted one year after it happens.
